At a partner meet, a brand may put hundreds of designs on display, each with several sizes, colours and packaging options. Partners want to order while the products are in front of them — and every order written by hand is an order that can be read wrongly later.

QR code ordering removes most of that risk. Each product on display carries a QR code. A partner scans it, the product opens in the ordering app, and they choose the sizes, colours and quantities they want. Nothing has to be copied from a label onto a form.

Manual ordering at events tends to fail in the same places:

  • Article codes and variants. A wrong digit in an article code, or a size written in the wrong column, turns into a wrong dispatch weeks later.
  • Queues. Partners wait for a sales representative to write their order, and representatives spend the event writing instead of talking to partners.

How QR code ordering works

A typical QR-based flow looks like this:

  1. The catalogue is prepared. Products are set up in the ordering platform with article codes, images, categories, sizes, colours, pricing and packaging.
  2. QR codes are attached to the display. Each product gets a unique code that links to its record in the platform.
  3. Partners sign in to the app. Each dealer or distributor uses their own login, so every order is attributed correctly.
  4. Partners scan and select. Scanning opens the product with its details; the partner enters quantities for each size and colour and adds it to their order.
  5. Partners review and confirm. Before submitting, they see their order summarised — for example by category — and confirm it.
  6. The brand sees orders immediately. Each confirmed order appears on a live dashboard for the sales and management team.

How to prepare your first QR-enabled event

  • Finish the catalogue early. Upload every product with images, categories, sizes, colours and pricing well before the event, and check it on a phone.
  • Label every product. Print and attach QR codes to each item on display, and test a sample of them on the venue's network.
  • Set up partner logins. Make sure every invited dealer and distributor can sign in before the day.
  • Brief the sales team. Representatives should know how to help a partner find a product, change a quantity and submit an order.
  • Decide what you will watch. Agree which dashboard figures matter during the event — for example bookings against target or partners still to order.
  • Plan the hand-over. Confirm how event orders will move into order processing and your ERP afterwards.

Is it only for footwear?

QR ordering is especially useful wherever a catalogue has many variants — footwear and apparel are obvious examples, but the same approach applies to electrical products, sanitaryware, hardware, furniture and other catalogue-heavy categories.
